Aire Council LLC ("AIRE Council," "we," "us," or "our") operates the AIRE Council AI Executive Leadership Program, the AireSimPro simulation platform, and associated web pages including api.airecouncil.com/demo, api.airecouncil.com/diagnostic, and airecouncil.com (collectively, the "Platform"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Platform. By using the Platform, registering for a program, or submitting information through any of our forms, you agree to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Information You Provide Directly

When you register for the simulation preview, complete the AI Governance Readiness Diagnostic, enroll in the AIRE Council program, or contact us, we may collect:

  • First and last name
  • Email address
  • Job title and professional role
  • Organization or company name
  • Industry
  • Payment information (processed securely by Stripe - we do not store card data)

1.2 Information Collected Automatically

When you visit the Platform, we automatically collect:

  • IP address and approximate geographic location
  • Browser type, device type, and operating system
  • Pages visited, time spent on pages, and navigation path
  • Referring website or advertisement (source of visit)
  • UTM parameters from marketing campaigns (utm_source, utm_medium, utm_campaign, utm_content, utm_term)
  • Landing page URL

1.3 Simulation and Assessment Data

When you use the AireSimPro simulation or complete the AI Governance Readiness Diagnostic, we collect:

  • Your written responses to scenario briefings and boardroom challenges
  • Dimension scores across the six governance dimensions
  • Leadership archetype assignment
  • Number of attempts per simulation session
  • Completion timestamps and session duration

1.4 Information from Third Parties

We may receive information about you from:

  • LearnWorlds (our learning management system) - name, email, enrollment status when you enroll in the program
  • LinkedIn - aggregate demographic data about visitors to our pages via the LinkedIn Insight Tag (job title, industry, seniority - not personally identified to us individually)
  • HighLevel (GHL) - our CRM platform, which stores contact information you submit through our forms

2. How We Use Your Information

We use the information we collect for the following purposes:

2.1 Program Delivery

  • To create and manage your simulation sessions and enrollment
  • To score your responses and generate your Leadership Index report and CAIE credential
  • To generate your certificate of completion
  • To send program-related communications including access instructions and session results

2.2 Marketing and Communications

  • To send you information about AIRE Council programs, updates, and related content that you have consented to receive
  • To run targeted advertising on LinkedIn, Facebook, and Instagram based on your visit to our Platform
  • To measure the effectiveness of our marketing campaigns using UTM attribution data
  • To retarget visitors who have interacted with our Platform

2.3 Platform Improvement

  • To analyze how users interact with the Platform and improve the simulation experience
  • To monitor and maintain platform security and performance
  • To troubleshoot technical issues

2.4 Legal and Compliance

  • To comply with applicable laws and regulations
  • To enforce our Terms of Service
  • To protect the rights, property, and safety of AIRE Council and our users

3. How We Share Your Information

We do not sell your personal information. We may share your information with:

We share information with trusted third-party service providers who assist us in operating the Platform:

  • LearnWorlds - learning management system for curriculum delivery and enrollment management
  • Stripe - payment processing (does not receive simulation or assessment data)
  • Google (Analytics) - website analytics via Google Analytics 4
  • LinkedIn - advertising and analytics via LinkedIn Insight Tag
  • Meta (Facebook/Instagram) - advertising via Meta Pixel (if installed)
  • HighLevel - CRM and marketing automation
  • Microsoft Azure - cloud infrastructure hosting all platform data in the United States (East US 2 region)
  • Google Gemini - AI processing of simulation responses for scoring purposes (response content processed by Google's AI systems)

3.2 Legal Requirements

We may disclose your information if required to do so by law, legal process, or governmental authority, or to protect the rights, property, or safety of AIRE Council, our users, or the public.

3.3 Business Transfers

In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you of any such change via email or prominent notice on the Platform.

4. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to operate and improve the Platform. These include:

4.1 Essential Cookies

Required for the Platform to function. These cannot be disabled. They include session management, authentication tokens, and security features.

4.2 Analytics Cookies

Used to understand how visitors interact with the Platform. We use Google Analytics 4 (GA4) which places cookies to track page visits, session duration, and traffic sources. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on at tools.google.com/dlpage/gaoptout.

4.3 Marketing Cookies

Used to measure the effectiveness of our advertising campaigns and to show you relevant ads on other platforms. We use:

  • LinkedIn Insight Tag (Partner ID: 9402426) - tracks visits for LinkedIn ad targeting and measurement
  • HighLevel tracking script - tracks page visits and associates them with contact records

4.4 Managing Cookies

You can control cookies through your browser settings. Most browsers allow you to refuse cookies or to delete cookies that have already been set. However, if you disable cookies, some features of the Platform may not function correctly.

5. Data Retention

We retain your personal information for as long as necessary to provide the Platform and fulfill the purposes described in this Privacy Policy:

  • Active program participants - retained for the duration of the program plus 3 years
  • CAIE credential holders - name and credential data retained indefinitely for verification purposes
  • Demo and diagnostic leads - retained for 2 years from date of registration
  • Marketing data - retained until you unsubscribe or request deletion
  • Platform logs and analytics - retained for 13 months

6. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal information:

You may request a copy of the personal information we hold about you.

6.2 Correction

You may request that we correct inaccurate or incomplete personal information.

6.3 Deletion

You may request that we delete your personal information, subject to certain exceptions (such as data required to maintain your credential record or comply with legal obligations).

6.4 Marketing Opt-Out

You may unsubscribe from marketing communications at any time by clicking the unsubscribe link in any email or by contacting us at privacy@airecouncil.com. Opting out of marketing communications does not affect program-related communications.

6.5 California Residents (CCPA)

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have rights under the General Data Protection Regulation (GDPR) including the right to access, rectify, erase, restrict processing, and port your data. You also have the right to lodge a complaint with your local data protection authority. Our legal basis for processing your data is consent (for marketing), contract performance (for program delivery), and legitimate interests (for platform security and analytics). 7. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • All data transmitted to and from the Platform is encrypted using TLS/HTTPS
  • Personal data stored in Microsoft Azure infrastructure with enterprise-grade security controls
  • Access to personal data restricted to authorized personnel only
  • API keys and credentials stored in Azure Key Vault - not in application code
  • Payment processing handled entirely by Stripe - we do not store payment card information

No method of transmission over the internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

8. International Data Transfers

AIRE Council is based in the United States. The Platform and all personal data are hosted on Microsoft Azure in the East US 2 (Virginia) region. If you access the Platform from outside the United States, your information will be transferred to, stored, and processed in the United States. For users in the EEA, UK, or Switzerland, we rely on Standard Contractual Clauses (SCCs) as the legal mechanism for transferring personal data to the United States. By using the Platform, you consent to this transfer.

9. Third-Party Links

The Platform may contain links to third-party websites, including LinkedIn, LearnWorlds, and other platforms. This Privacy Policy does not apply to those third-party websites. We encourage you to review the privacy policies of any third-party sites you visit.

10. Children's Privacy

The Platform is intended for business professionals and is not directed at individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If we become aware that we have collected personal information from a minor, we will delete it promptly.

11. AI Processing of Your Responses

The AireSimPro platform uses Google Gemini, a large language model AI system, to evaluate your written simulation responses and generate stakeholder challengers. Your simulation responses are transmitted to Google's AI processing systems for this purpose. Your responses are used solely for scoring and feedback purposes within the platform. We do not use your simulation responses to train AI models. Please review Google's privacy policy at policies.google.com/privacy for information on how Google processes data submitted to its AI services.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last Updated" date. For significant changes, we will provide additional notice such as an email notification to registered users. Your continued use of the Platform after the effective date of any changes constitutes your acceptance of the updated Privacy Policy.
